What does a practice admin control?

Who is in the practice, who sees what, who is working on what, and where the practice’s time and money go.

Who is in the practice

Invite colleagues to the practice, up to 10 people. When someone leaves, the practice sites they owned pass to you and their access to them ends.

Who sees a confidential site

Restrict a practice site and only you, its owner and the colleagues you grant access can open it. An owner can restrict their own site too, but never out of your sight: as admin, you can always open every practice site.

Who is doing what

Assign tasks to colleagues, against a site or on their own, with a due date and a status of open, in progress or done.

What everyone needs to know

Post notices to the whole practice on a shared noticeboard, instead of another all-staff email.

Where the hours go

See a summary of the hours logged across the team, alongside your own.

Where the money goes

Connect the practice’s own Stripe account, so invoices raised on practice work are paid to the practice, with its VAT number on them.

How do I see what the whole team is working on?

Practice members land on the practice’s sites by default, so the pipeline board shows the whole practice’s caseload at its current stages, with anything that needs attention flagged.

  • Narrow the board to the sites you own with one toggle, and switch back to the whole practice.
  • Tasks and notices sit on the practice page for the whole team, apart from tasks on a confidential site.
  • The admin sees the team’s hours summarised on the Time page.
  • Analytics gives each consultant their own figures: active sites, decisions due, outcomes and new business by source.

Can a consultant work freelance alongside the practice?

Yes. A consultant can run personal sites for freelance work unrelated to the practice at the same time as working on the practice’s caseload, and every site that belongs to the practice is visible to the practice.

  • New sites belong to the practice by default. A personal site is a choice the consultant makes, site by site, when they create it.
  • Every practice site is visible to the whole team. The one exception is a site restricted as confidential, and the practice admin can always open those too.
  • A site that belongs to the practice cannot be moved out of it.
  • Contacts work the same way: new ones are shared with the practice by default, and a consultant can keep one personal for their own freelance work.
  • If someone leaves, their personal sites go with them, and everything that belongs to the practice stays with the practice.

How does time recording work?

Each consultant logs hours against a site, and optionally a task, as they work, then marks the entries as billed once they have been invoiced.

Time is recorded separately from invoicing: hours are not turned into an invoice automatically. Fee proposals and invoices are raised from New Business, as described on the CRM for town planning consultants page.

Common questions

How many people can use PlanProve in one practice?

Up to 10 people in one practice.

Does each consultant need their own account?

Yes. Everyone signs in with their own account and joins the practice by invitation, so tasks, time and notes are attributed to the right person.

Can only some people delete sites?

Yes. Any member can work on a practice site, but only the practice admin can delete one.

How is a practice charged?

It is not, for now. Practices use PlanProve free until 3 December 2026, like every planning professional, and practice pricing will be announced before then. See pricing.
